How to apply Japan Visa in Malaysia

How to apply Japan Visa in Malaysia? With low fares now from Air AsiaX and they are flying to Tokyo’s Haneda Airport and Osaka’s Kansai Airport a few times a week from Kuala Lumpur, there are more Malaysians now traveling to Japan either with travel companies or by themselves.

We were supposed to backpack in Japan this March. However, due to the natural disasters which happened just a few days before our trip, we had to call it off. Hence, we are planning to go again next year. Visiting Japan is our main objective next year and we would love to go backpacking.
Japan Embassy Malaysia
Do we need a Japan Visa to travel to Japan? In actual we don’t need one but due to many past incidents of Malaysians overstaying and abusing the privilege, it is best that we have one. It is FREE of Charge anyways.

Since 1993, Malaysian nationals are strongly encouraged to obtain a visa prior to entering into Japan.

The visa-exemption arrangements between Japan and Malaysia have allowed Malaysian nationals who meet relevant conditions can enter into Japan without a visa for a period of stay not exceeding three(3) consecutive months.

However, in order to cope with the large number of Malaysians who overstay in Japan and work illegally, the Government of Japan decided to encourage Malaysian nationals to obtain visa prior to entry into Japan in order to ensure smooth entry. – Embassy of Japan, Malaysia

Requirements as below:

HOLIDAY AND TRANSIT in Japan

1.            Original Malaysia passport

2.            One (1) visa application form (downloadable) and print it and filled it up.

3.            One (1) photo (4.5cm x 4.5cm) with white background which is taken within 6 month from the visa application and must be pasted on the application form (It is the same format / dimension with US Visa requirement)

4.            IItinerary in Japan (downloadable) and for transit purpose, copy of visa to the main destination (USA, CANADA, etc)

5.            Employment certificate stating your position, department in the company and length of service(using the company letterhead). You can also ask your HR (Human Resource department) to state how long you have been working there and also state how long will be your leave to Japan. Only ORIGINAL COPY of Company Leave Letter is accepted (with Company Letter Head).

*If you are a sole proprietor/partner/owner of the company, you need to submit a copy of  your business registration

*For those who are not working: a self explanatory letter stating how expenses will be borne, name and relationship of person(s) accompanying (if any)

6.            Personal savings, latest current account statement, fixed deposit, Tabung Haji or Amanah Saham Berhad (ASB) (original certified true copy by the bank) (need to show the applicant’s name as the account owner, account number and current balance). If you didn’t stamp your statement, they will ask you to go back to do so with your respective banks. Don’t waste time and chances, just go to your bank and Certified True Copy it!

*You must have at least RM 6000 in your bank account for Japan Visa approval. This is an unofficial requirement for the approval, if you have more than RM 6000 then its better.*

7.            Copy of marriage certificate (spouse) or birth certificate (children) to show proof of relationship between the main applicant and the person(s) accompanying.

If your wife is working, she does not need to show her financial records but she needs to present her original Company Leave Letter.

NOTES

1.    Please arrange all the documents according to the sequence. Documents submitted will not be returned.

2.    All photocopies must be on A4 size paper.

3.    Collection of passport will be three (3) working days for Malaysian (subject to approval).

4.    It is better to apply the VISA in the morning as there will be two counters handling visa applications, in the afternoon only one counter will be opened for visa application as the other one is closed for Passport collection.

5.   Lunch time is 12.00pm to 2.00pm, so they are closed at that time. I was caught unaware of it and wasted my time going there.

7.   Go to the door on the right once you enter the Embassy and please take a number for Visa Application and wait for your turn.

    1. Hi Diane,

Same goes to me. Wanted to blog about it for so long until today. Hope this will help a lot of people going to Japan.

      1. Dear Wilson,

Thank you so much for this post. I have been looking for one that will give me an idea on roughly how much I will need in my bank account to apply for the visa as I don’t earn so much, so your post really helped. My first trip to Osaka or Japan for that matter. I did not know until after I booked the flight ticket, how difficult it was to visit Japan!

I’m going for 6D5N in July. Would you be able to give me a rough estimate on how much spending money to take if I were to consider visiting Kobe and Kyoto?

        Thanks.

        Darlene

        1. Hi Darlene,

We didn’t spend much in Japan as we visit places than shopping. I believed that you will spend more in Tokyo as there are more things to shop there. We brought RM 4k or 100,000 Yen cash for 2 person and we still got some change at the end of the day. It all depends how much you shop. For food, expect to pay around RM 30+ per pax per meal (comfortable). Get the Kansai Thru Pass for RM 200 or 5,000 Yen for 3 days, you can purchase in the airport near the exit (turn left) at the information counter in Kansai International Airport.
We will advised you to shop with your credit card and pay the essentials with cash. Keep the cash for emergency and Japan is a very safe country.

With Kansai Thru Pass you can go to Kobe and Kyoto thru Kintetsu trains (you will learn about it in Osaka). If you intend to go crazy and eat Kobe beef like us you can also read about https://www.placesandfoods.com/2012/01/kobebeef.html.

If you anymore questions, we would love to assist you.

      2. Hi Wilson,

Thanks so much for the speedy reply. That really helped give me some ideas. My husband and I are not really people who shop unless the shopping are for things that are not usually found and maybe souvenirs to remind us of places 🙂 I was going to Google for Rail Passes or something like that, just as the Metlink cards we used in Melbourne. Thanks so much for the heads up. You’ve been a great help. I don’t know if we’ll have enough time to do much but at least we get to see some things there and get to know the people and culture. Thanks also for the info on food and roughly how much to set aside.

        Looking forward to the trip.

        Best wishes,
        Darlene

  1. Thanks for the info..:)
    As stated at your blog..

Is it necessery to have RM6000.00? As I heard before this, they only need around RM3000.00 in your account. Now, i’m bit worried since my trip will be next year May.

    1. Hi Haisah,

Actually you might need more than RM 3000 as things are not cheap in Japan. The question is what happened if you run out of money in Japan? Without substantial cash in your hand, its hard for them to allow you to travel there. Anyways, you still have 4 months to save up, hope this information will help you.

      Wilson

    1. Hi there,

Actually you can walk from Ampang Park LRT station. You will probably need 15 min of walking. That is the cheapest and best way to go there. There is no parking spaces available, you probably need to park at the roadside.

  2. hi,

i have a question, i am currently studying in korea and i am malaysian. i am planning to go to japan. do i also need to get a visa to go there? and how am i suppose to do that? and what document do i need?

    1. Hi Zuruelian,

Great question. Probably you can try contacting the Japanese Embassy in Korea? I’m sure they have the answer for your query. Thanks for commenting.

  4. Hi. Would like to ask, if I’m a Malaysian student wanting to apply for japan visa, do I need to provide the self explanatory letter on how expenses will be borne? I’m traveling there with a friend.

  5. I booked a holiday for the whole family from airasia. Can a travel agent apply for the visa on my behalf if I give them all the documents?

    1. Hi PF,

Yes, they can but they will charge you a nominal fee. It’s worth it if you feel it is troublesome to book yourself.

      Wilson

    1. Hi Nazri,

You just bring their passports and make sure you compiled everything together for them. They don’t entertain questions. I did it for Rachel and my friends too. Good luck!

      Wilson

  6. Hi I am planning to visit Tokyo Japan 7D5N in November together with my wife and 3 children. How much cash that I need to bring. Any limitation on amount of cash that I can bring out? Any declaration required? Tq

    1. Hi Tayuda,

Most of the places there accept credit cards and if not mistaken we are only allowed to bring a max of RM 10,000 of cash per person (I’m not sure about this). The great thing about Japan is you are less likely to get robbed or pick pocketed.

What we did was we try to use on credit card and controlled our spending on cash. We made sure we had balance of our cash in case of emergency.

I hope you managed your cash well and also control your spending there too.

      Regards,

      Wilson

  7. How do I go about applying for a Japan visa in Kuching, Sarawak? Do I really need to fly to KL to do it? Else how do I pass my passport to my KL friends to apply on my behalf?

  8. *You must have at least RM 6000 in your bank account for Japan Visa approval. This is an unofficial requirement for the approval, if you have more than RM 6000 then its better.*

From my bank statement, will they check my monthly flow of my cash or when they see there is RM6000, it will be fine. Because my father will loan me the access RM6000 for me to deposit it into my account(which I will use for my travel in Japan). My trip will be on the September 2013.

    Thank you.

  9. Hi,
I would like to know how do i proof i have rm6K in my bank account for the visa approval. Can i just photocopy by bank book?

    Thank You

  10. Hi Wilson,

Thank you for the very informative post.

I’m collecting my Visa tomorrow. Hopefully it will be approved (*fingers crossed*).

I am going for 6D5N trips. Landing in Osaka.

You mentioned to get Kansai Thru pass for 3 days for RM 200 .

Is this a return pass (go and return) to get you from Osaka to Kyoto back to Osaka ? and Osaka to Kobe back to Osaka ?

And this pass is valid for 3 days? If that is true, that’s cheap ..

  11. hi, i m going to the embassy of japan personally to apply for my visa tomorrow, it stated there it takes 3 working days to process the application, so if i apply tomorrow, then when can i go to collect it? since i will stay at kl until wednesday only…:(…thank you very much!!!!

    1. Hi Chesoon,

Thank you for commenting. We don’t work in the embassy but just travel bloggers who are offering tips. If the calculation is not wrong you should get your passports on Wednesday, please ask them during submission. Sorry for the late reply as we just returned from our holiday in Hanoi, Vietnam.

      Thanks

  12. Hi Wilson,

“Personal savings, latest current account statement, fixed deposit, Tabung Haji or Amanah Saham Berhad (ASB) (original certified true copy by the bank)”

Is it i can only submit either my personal saving account or fixed deposit? Not necessary to submit both right?

    Thank you ^^

  13. Hi Wilson,

Which International bank should we apply in order for us to access money from Japan?

Heard from my sis that she’s using citibank, but we don’t have citibank in Kuching.

Is Standard Chartered / HSBC / UOB convenient to withdraw money from Japan?

Can we also use our iPhone there? Since they had a different sim card / adapter there…

    Thanks in advance! 🙂

    1. Hi Mewwy,

You sure know how to ask hard questions.

Well, when we traveled we don’t use ATM cards. What we do is we exchanged an ideal amount of cash and we will take a few credit cards.
We will balance our spending by using credit cards whenever it is available and keep the cash for emergency. You can also withdraw cash with credit cards but of course the charges are higher.

For the phone usages there, that is a brilliant question! We didn’t use our phone as our friends were using their phone International roaming. You better call your service provider for this question.

Hope my answer can help you.

      Wilson

      1. Thanks Wilson, I really appreciate that you take time to answer my questions! 🙂
Will follow your advises on these..

  14. Hi, i know this is quite irrelavant, but i heard those staying in east cost of Malaysia need to apply visa in Penang branch of Japan embassy. Is that true? My mum is in Terengganu whereas I’m in KL, would like to know if it is possible to just submit both of our visa appications in KL….
Btw, great tips on Kansai train 🙂

    1. Hi Choo,

I’m not sure for that as well, you really know how to ask tough questions!

If I’m on your shoe, I will try to submit in KL, its only 3 working days so its no harm. It’s quite a relatively easy process as I went there twice already with no problems.

Thanks for the lovely comments on the Kansai train, hope you come back often for other tips on other countries as well

      Wilson

  15. Hi,

Is it relevant that we must have Visa before booking the flights to Japan?
The Visa is only valid for three months. I am going Japan on July but I have to book my flight tickets during this week because of the flight tickets promotion period.

    Thank you 🙂

    1. Hi Liah,

Trust me, you are better off with the Visa since it is highly recommended on the Japanese Embassy website.

You have to apply in May with details of your flight and accommodations and other relevant documents.

Good luck there! Hope to visit Japan again soon!

      Wilson

  16. Hi Wilson,
I have made plans to visit Japan together with my wife in early April 2013 and now trying to figure out with the Visa applications. I have looked at the Japan Embassy website but can’t seem to download the application form online. I always get an Adobe Reader download in Japanese every time I try to download the form when I am pretty sure I already have the software (Adobe Reader) installed in my computer with the latest updates! This is so frustrating! Can you help? Or do I need to go up to the Japanese Embassy to obtain the Visa Application form? Tq

  17. Hi Wilson

I will be in Tokyo and will be going to Kyoto, Osaka, Nara, Hiroshima, Nagasaki and Yokohama. Not necessarily in that order. Is it more economical to get the JR pass instead of the Kansai Thru Pass?

    Thank you
